Svea Adventures Reservation Policies and Terms & Conditions

Reservation Policies

This agreement between Svea Adventures LLC (hereinafter Svea Adventures) and the traveler (you), sets forth terms upon which you have agreed to take the tour described in the information provided by Svea Adventures.

Arrangements

Svea Adventures will reserve the tour, as outlined on Svea Adventures website (www.sveaadventures.com) and on the PDF information document only. You must separately arrange for and pay for travel to and from the start/finish location. You must have a valid passport in order to enter any Scandinavian country. It is your responsibility to obtain any necessary visa and other documents in order to enter the country of destination.

Deposits & Payment Schedule

A $300 per person non-refundable deposit reserves your space until 90 days before the tour departure, when payment is due in full. If you book your tour within 90 days of departure, Svea Adventures asks for full payment at the time of booking.

Changes to the Reservation

Should you need to make a change to a reservation in the form of a name change or adding a pre/post tour hotel night or rental gear, Svea Adventures will do its best to accommodate your request. No changes may be made less than 60 days before departure. Please note that train tickets and other items which Svea Adventures can help you arrange, but has no control over, may have separate change and cancellation policies and are not covered in this agreement.

Postponement

If you must postpone your tour to another date, this must first be approved by both Svea Adventures and the individual tour operator operating you tour. Postponements are subject to an increase in the tour cost based on the new departure date. If a new departure date cannot be accommodated, the postponement will be treated as a cancellation based on the below schedule.

Cancellation by Client

Should you need to cancel the tour, Svea Adventures requires written notice of this. The date that Svea Adventures receives the written notice of cancellation, determines the cancellation charges applicable. Cancellation fees are as follows:

Cancellations must be made prior to 5:00 pm (Eastern Time) on a business day.  Saturdays, Sundays and legal holidays are not considered business days.

Cancellation by Svea Adventures

Svea Adventures reserves the right to cancel any tour prior to departure for any reason. Notice of at least 30 days prior to the departure date will be given for a tour cancellation due to inadequate participation. In such a case, a full refund of the tour cost (including the deposit) will be given. However, Svea Adventures is not responsible for expenses incurred by tour members in preparation for the tour (i.e. non-refundable airline tickets, medical expenses, equipment purchases, etc.).

Terms & Conditions

Tour Delays

If the tour is delayed because of bad weather, cancelled or delayed flights or delays of other modes of transport, sickness or other situations over which Svea Adventures has no control, the cost of the delay is not included and no tour cost will be refunded.

Tour Inclusions & Flexibility

The tour cost includes those services and facilities listed on the tour specific page of Svea Adventure’s website and on the detailed pre-departure information. If a single room is requested and available, an additional charge will be made. The total tour cost is subject to adjustment by Svea Adventures to reflect currency fluctuations at any time. The itinerary as stated for each tour must be taken only as an indication of what each group may accomplish, and you acknowledge that the nature of this type of travel requires significant flexibility and should allow for changes.  As such, the stated itinerary is not a contractual obligation on the part of Svea Adventures. You understand that the amenities, type of transport, route, schedule, and itineraries may change without prior notice due to local circumstances or events. Events causing these changes may include mechanical breakdown, illness, weather and other unforeseeable factors.

Additional Costs

Airfares (domestic and international) and other public transportation costs to get you to/from the start/finishing point of the tour, travel or medical insurance, pre or post tour accommodations, items of personal nature, or costs due to interruption or delay of the itinerary are not included in the tour cost.

Medical Insurance & Travel Insurance

All participants are required to have a personal medical travel insurance policy that is valid in Scandinavia for the duration of the tour. It is your responsibility to obtain this. This insurance must cover emergency medical and evacuation expenses. Svea Adventures highly recommends to also protecting your travel investment with travel cancellation insurance. Upon request, Svea Adventures may be able to offer you a comprehensive travel insurance quote.

Traveler Responsibility

As a traveler, you have the responsibilities to Svea Adventures and the tour operator, your guides and other travelers that include: Selecting a tour appropriate to your interests and ability and being in sufficient health to undertake the tour. Preparing for the tour by exercising regularly and packing appropriate clothing and equipment. Acting in an appropriate and respectful manner and in accordance with the customs and laws of the country or countries in which you are traveling. Making your guide aware if you feel unable to participate in a particular activity for any reason and to decline to participate. Should you not take your traveler responsibilities seriously or should you pose a threat to the safety of yourself or the safety of the group, your guide has the authority to remove you from the tour without recourse to any refund. At all times, the decision of your guide or the supplier is final on all matters concerning the safety and well being of the group or individual travelers.

Traveling Minors
Most of our trips are geared towards people aged 16 and over but we may be able to make exceptions or customize a trip to meet the needs of younger participants. If any participant on the tour is a minor, his or her parents and/or guardian assume full responsibility for all expenses and liabilities of that participant on the tour and agree to indemnify and hold harmless Svea Adventures against any claims by minor which may arise.

A Note for Self-Guided Adventures

On the self-guided adventures, you as the traveler, understand that there will not be a guide with you on this trip. You must be sufficient in reading directions and finding your own way. Svea Adventures will provide for the tour, as outlined in the detailed itinerary information, including route descriptions, maps, hotel accommodations and other applicable services. You must separately arrange for and pay for travel to and from the start/finish location. As a U.S. Citizen, you must have a valid passport in order to enter any Scandinavian country.

Release of Liability and Assumption of All Risks

By submitting a reservation request form to Svea Adventures, all participants understand and agree to the following release of liability and assumption of all risks:

  • Svea Adventures, its employees, subsidiaries, affiliates, officers, directors, successors, agents, and assigns (collectively Svea Adventures) does not own or operate any entity which provides goods or services for your tour including, for example guides, lodging facilities, vans or other transportation companies or devices, food service providers, equipment suppliers, etc.  As a result, Svea Adventures is not liable for any negligent or willful act or failure to act of any such person, or of any other third party.

  • I acknowledge that I have voluntarily applied to participate in the tour designated on this application (or a tour to which I may subsequently transfer).  I am voluntarily participating in this tour with the knowledge of the numerous risks and dangers involved including but not limited to: physical exertion for which I am not prepared; forces of nature; transportation failures whether by auto, boat, canoe, kayak, bicycle, horseback, by foot, or by any other conveyance; consumption of alcoholic beverages; risks associated with food or impure water; civil unrest; terrorism; criminal activity; dangers associated with wild or other animals; breakdown or faulty maintenance of equipment; accident or illness without access to means of rapid evacuation or availability of medical supplies or services; the adequacy of medical attention once provided; and stolen, lost, or misplaced luggage or property.

  • I acknowledge that the enjoyment of travel is derived in part from the inherent risks incurred by travel and activity beyond the accepted safety of life at home or work and that these inherent risks contribute to such enjoyment. 

  • I HEREBY AGREE TO BE RESPONSIBLE FOR MY OWN WELFARE AND ACCEPT ANY AND ALL RISKS OF DELAY, UNANTICIPATED EVENTS, INCONVENIENCE, ILLNESS, INJURY, LOSS, EMOTIONAL TRAUMA OR DEATH.

  • I acknowledge that the cost of all Svea Adventures tours are based upon tour participants executing this Release of Liability and Assumption of All Risk Agreement. Therefore, as lawful consideration for being permitted to participate on such tour(s), I hereby RELEASE AND DISCHARGE FOREVER SVEA ADVENTURES FROM AND AGAINST ANY AND ALL LIABILITY ARISING FROM MY PARTICIPATION IN THE TOUR.

  • I agree that this release shall be legally binding upon me personally, all members of my family and all minors traveling with me, my and their heirs, successors, assigns, and legal representatives, it being my intention fully to assume all the risks associated with this tour and to release Svea Adventures from any and all liabilities to the maximum extent permitted by law.

This agreement shall be governed by the laws of the State of Maine and Traveler agrees to be subject to the jurisdiction of the courts of the State of Maine in Cumberland County in which Svea Adventures maintains its principal place of business. This agreement can not be amended unless it is done in writing and signed by both parties.
